Administrative Coordinator, Center for the Advanced Study of India
Job Description:
CASI seeks an administrative coordinator to perform complex and confidential administrative and coordination functions for all aspects of the Center. This position requires a candidate possessing the ability to work effectively and professionally with CASI's director and staff, SAS, the University, and external partners. The successful candidate should have the ability and desire to add value to all of the Center's major programs. They should clearly demonstrate attention to detail, highly effective interpersonal skills and the ability to comply with University policies. They proactively provide administrative support to the Center's management.
As the first point of contact for the Center, the Administrative Coordinator greets visitors in person and / or answer inquiries by telephone or email. The successful candidate will exercise considerable judgment and confidentiality dealing with various constituencies in contact with the Center including high-level officials in the U.S. and Indian governments, members of the Center's International Advisory Board, donors, alumni, faculty, staff, students, and vendors and contractors. The Administrative Coordinator performs financial transaction work; monitors payments of external invoices; and supports all aspects of the Center's administrative priorities for its core programs including events coordination, visitor travel and accommodations, and provides assistance with related transaction work. The Administrative Coordinator will also support the Center's Director including coordination of the Director's calendar.
Qualifications:
- A High School Diploma with 5 to 7 years of experience or equivalent combination of education and experience is required.
- Bachelor's Degree and 1 to 2 years of experience are strongly preferred.
- Candidate should demonstrate effective organization, administrative and financial management skills.
- Previous experience in higher education a plus.
- Ability to develop sound administrative systems, fulfill all responsibilities in a timely and professional manner, and respond quickly to internal and external requests.
- Ideal candidate will have excellent communication and follow through skills. In addition, the candidate should possess the ability to function in a frequently changing environment, and to function as part of a team. Interests in contemporary India and/or academic social science research are assets, but not essential to success in the position.
- Proficiency in MS Office including Excel and databases.
- Knowledge of social media applications a plus.
- Familiarity with UPENN related financial systems such as BEN Financials and Concur or equivalent systems or a willingness to be trained on UPENN systems.
